Marketing and Communications Coordinator

Reports to: Development Officer

Job type: Part-time (20 hours/week), hybrid or on-site in Leesburg, VA

FLSA Status: Non-exempt, hourly

Salary: $28-$35/hour, rate will be commensurate with experience and education

Position Summary

The Marketing and Communications Coordinator will lead storytelling, branding, and public awareness-building initiatives for the clinic, and must be bilingual in English and Spanish. The person in this role will generate and execute annual and multi-year communications plans. This position is responsible for Marketing and Communications activities to support, advance, and meet the organization’s strategic goals including new patient growth, health education, increasing community awareness, and fund development. The position is supervised by the Development Officer and collaborates regularly with staff, volunteers, patients, and the Board of Directors. The position is on-site in Leesburg, Virginia with some flexibility. Specifics will be discussed during the interview process.

Responsibilities include but are not limited to:

Marketing and Communications Strategy

  • Lead the development and execution of a dynamic communications and marketing plan with both annual and multi-year timelines.
  • Track key performance indicators and use data to analyze and optimize communications impact.
  • Manage and support vendors and volunteers working on communications and community outreach for the clinic.
  • Actively contribute to strategy discussions with management and leadership.

Brand Identity

  • Develop brand strategy, key messages, and guides to ensure consistent use throughout the organization. Ensure consistent voice and clarity in all messaging and visual content.

Digital Marketing

  • Create and manage content across digital platforms, including website, email, social media channels to build LFC’s brand, enhance public engagement, and grow supporter base.
  • Coordinate with and manage vendor(s) as needed to update and optimize platforms.

Storytelling

  • Craft compelling stories and visual assets that reflect the humanity of the clinic’s patients and communicate the importance of the clinic’s work.
  • Use digital, video, audio, and print media to share the clinic’s stories.
  • Develop and train staff in best practices and procedures for gathering stories, photos, and other content for communication purposes.

Patient Communications

  • Develop and implement strategies and materials to grow LFC patient population in collaboration with the Outreach Coordinator.
  • Identify opportunities and implement appropriate strategies for enhancing communication with current patients
  • Collaborate with other stakeholders and experts to craft content and materials for health education initiatives

Donor Communications

  • Support fundraising efforts by developing strategic communications and donor-facing materials and content, to include email newsletters, annual report, appeal letters, case statements, and more, in alignment with the clinic’s brand identity and strategic goals.
  • Utilize CRM (Bloomerang) to record communications interactions with donors and community stakeholders.

Graphic Design

  • Utilize graphic design tools and principles to create visually compelling, on-brand materials and assets for use in various communications initiatives.

Event Support

  • Support planning and execution of fundraising events, donor receptions, and other special events with an eye toward brand, message, and design.
  • Draft speaker talking points and other messaging for special events to maximize strategic alignment.
  • Design on-brand materials for events such as invitations, signage, banners, programs, and more as needed.

Public Relations

  • Develop media plans.
  • Build relationships with press and media contacts locally and nationally.
  • Write press releases.
  • Monitor news items and current events relevant to LFC.

Required Qualifications

  • 2+ years of experience working in communications and/or marketing role(s)
  • Bachelor’s degree or equivalent experience
  • Bilingual fluency and literacy in English and Spanish
  • Passion for storytelling and making a positive impact
  • Excellent written and verbal communication skills
  • Outstanding organizational skills with strong attention to detail and ability to meet deadlines
  • Team player mentality with ability to gain trust and confidence with colleagues and constituents from diverse cultural backgrounds
  • Self-directed and motivated; able to work in a fast-paced environment juggling multiple priorities while producing high-quality work in a timely manner
  • Working knowledge of digital communications and marketing tools, particularly social media platforms including but not limited to WhatsApp, Facebook, Instagram, YouTube, TikTok, etc.
  • Working knowledge of basic graphic design principles and tools
  • Ability to learn new technologies quickly
  • Ability to handle sensitive and confidential information with tact and in accordance with applicable laws
  • Willingness to contribute new ideas and perspectives to hone the clinic’s community reach and impact

  • 2+ years working with or for nonprofit and/or mission-oriented organization(s)

Clinic Nurse – Certified Medical Assistant

Full-time, in-person position. This position provides bilingual Spanish/English nursing health care to Loudoun Free Clinic patients during daytime and evening clinic hours. You must be able to work the following schedule: Monday & Tuesday 8am-5pm; Wednesday & Thursday 8am-8:30pm. No weekend shifts Friday through Sunday and no holiday shifts.

Essential Functions

Brings patients back to exam rooms and prepares patients for physician by obtaining accurate medical history, vital signs, and other necessary clinical information

Assists with office procedures and treatments as defined.

Prepares lab specimens to send out to reference labs in accordance with laboratory guidelines.

Works with providers with discharge instructions and necessary patient follow-up and education. Includes calling prescriptions in to pharmacies when necessary.

Assists in management of patient records to include documenting accurately in the electronic medical record.

Prepares rooms for procedures – ensures proper functioning of medical equipment and maintains adequate stock of supplies.

Ensures exam rooms are cleaned in between patients and at the end of the day.

Assists with case management duties: advocates, coordinates referrals and support to enhance care plan adherence for patients.

Works with the front office staff when clinical information is required to coordinate referrals and authorizations.

Works with Clinical team as needed to develop and implement clinical policies and procedures in accordance with internal and external regulations and guidelines.

Assists in the operations of the front desk area as needed such as making appointments, filing, medical records, scanning, sending recalls, etc.

Ensures medical equipment and supplies are adequately stocked and updated.

Works with other personnel in office to achieve department objectives.

Attends staff meetings on a regular basis.

Other duties as required in clinic.

Qualifications

Graduate of accredited school in Certified Medical Assistant Program. Proof of medical assistant certification.

Bilingual in Spanish/English required.

CPR/BLS certified or willing to become certified with 30 days of employment.

Previous experience with EMR systems is required.

Previous experience in physician office setting preferred.

Previous case management experience is preferred.

Previous experience in lab procedures is preferred.

Nonprofit organization experience is preferred.

Some evening hours are REQUIRED.

Must have a driver’s license & transportation.

YOUR QUALIFICATIONS

Minimum Requirements

To be successful as Executive Director of LFC, you will need at least the following education and experience:

  • Bachelor’s degree
  • At least five years of experience managing people to successfully deliver expected results, through teams comprising staff and/or volunteers with diverse backgrounds performing different functions.
  • Exposure to the principles and techniques of large-scale fundraising (e.g., soliciting corporate sponsors and major donors, event planning) through hands-on experience, training, or a combination thereof.
  • Two years managing business finances such as developing and managing a budget, reporting, ensuring policy compliance, coordinating audits, etc.

Preferred Criteria

While not required, a bachelor’s degree (or higher) in Health Care Administration and/or experience managing outpatient clinical operations (clinics, physician practices, etc.) is helpful in performing the job functions.

SAMPLE RESPONSIBILITIES

Examples representative of your responsibilities as LFC Executive Director include:

Clinic Fundraising

  • Work with development staff to design and execute fundraising campaigns and initiatives
  • Retain and grow contributions from current major donors and sponsors
  • Identify prospects, develop solicitation strategies, lead meetings, etc. to secure new donors/sources of revenue
  • Conceptualize, plan, and carry out special fundraising events with Board support

Community Engagement

  • Develop and issue press releases to keep the public informed and engaged, and raise the profile of Loudoun Free Clinic’s work
  • Serve as the primary clinic point of contact for media interviews, profiles, etc.
  • Identify, organize, participate in, and/or present at high-visibility community events
  • Design and implement strategies to communicate services to eligible populations

Administration

  • Maintain clinic accreditation, as well as professional, business, and other licenses
  • Prepare and submit required government, stakeholder, grantor, and other reports
  • Lead and/or coordinate the procurement process for necessary equipment and capital
  • Prepare and present monthly reports to the Board of Directors

Stakeholder Relations

  • Maintain strong relationships with key industry associations and partners
  • Represent and advocate on behalf of LFC to local and state government representatives
  • Develop partnerships benefitting the clinic and its current and prospective patients
  • Network and collaborate with other non-profit and government service providers

Strategic Planning

  • Manage implementation of and meet objectives in the clinic’s existing strategic plan
  • Resolve or escalate, with recommended resolutions, strategic issues and risks
  • Monitor demographic, economic, health, and other relevant community trends
  • Participate in workshops, meetings, etc. to update the strategic plan, as needed

Financial Management

  • Lead development of the annual budget for Board approval
  • Monitor the budget, forecast, analyze, and proactively address variances, etc.
  • Make purchasing decisions in alignment with the budget and clinic policies
  • Coordinate and support LFC’s participation in annual financial audits

Workforce Management

  • Identify staffing needs, develop fill strategies, and make sound hiring decisions
  • Manage assigned staff through feedback, evaluations, rewards, corrective actions, etc.
  • Ensure staff and volunteers receive continuous professional development
  • Monitor and build staff and volunteer commitment, morale, and job satisfaction

Clinic Operations

  • Ensure operational efficiency and high standards of service quality
  • Identify opportunities, design and implement improvements, etc.
  • Employ data analytics to monitor and manage clinic operations
  • Develop and expand upon volunteer medical provider relationships

ADDITIONAL INFORMATION

As Executive Director, you will be working on-site at the clinic facility in Leesburg, Virginia. However, since the job includes significant fundraising, networking, and relationship-building, you will also be expected to go off-site to visit stakeholders, attend community events (some of which may be after normal work hours or on weekends), etc. You must have ready access to a reliable vehicle.

Front Desk Medical Receptionist

Job Location: Leesburg, VA
Job Description: Loudoun Free Clinic is a primary care office in Leesburg, VA. We are professional, rewarding, inclusive and our goal is to to provide healthcare services for uninsured Loudoun County residents who, as a result of economic or other barriers, would otherwise go without. We do not accept patients with health insurance, so this means staff do not have medical billing and insurance verification duties.

The Loudoun Free Clinic is seeking a full time Front Desk Medical Receptionist to join our diverse team providing top quality care to patients in our busy adult primary care office in Leesburg, VA. Hours of operation are Mon/Tues 8a-5p, Wed/Th 8a-8p. At this time we are closed on Fridays.

Responsibilities include but are not limited to general medical office duties such as:

  • Greet and check-in patients and visitors as they arrive at the medical office.
  • Answer phone calls and respond to inquiries or direct calls to the appropriate department.
  • Schedule appointments and maintain the appointment calendar.
  • Call patients with appointment reminders.
  • Track wait list for and schedule specialist appointments.
  • Collect patient information and update medical records in the system.
  • Handle patient payments/donations and provide receipts.
  • Maintain cleanliness and organization of the front desk area.
  • Track and order office supplies.
  • Assist with administrative tasks such as filing, faxing, and scanning documents and maintaining office equipment.
